Division of International Mobility facilitates student and staff exchanges, internships, and other academic mobility programs that connect UII with the global community. The division manages both inbound (Study at UII) and outbound mobility programs (Study Abroad). For inbound participants, it provides guidance and support services to international students and scholars who choose UII as their destination for study, research, or cultural exchange. For outbound participants, it assists UII students and staff in exploring opportunities abroad, including study exchanges, short programs, scholarships, and internships at partner institutions worldwide.

Universitas Islam Indonesia (UII) welcomes international students to join the Inbound Credit Transfer Program. This program allows students from partner universities abroad to study at UII for one or two semesters. Through this program, students can take courses that are transferable to their home universities while experiencing Indonesian culture and academic life in Yogyakarta. Courses are delivered in English and Bahasa Indonesia, with a wide range of subjects available across various faculties.

Participation in the program provides not only academic enrichment but also opportunities for intercultural learning, networking, and community engagement—strengthening students’ global perspective and resilience.

Joint/Double Degree Program Procedures:

Application and Nomination

  1. The UII student first discusses their plan to join the joint/double degree program with their Study Program (Prodi), particularly regarding any compulsory courses they must complete beforehand.
  2. The Study Program issues a recommendation letter for the student, nominating them to the host (partner) university, and forwards this letter to the DK/KUI (Directorate of Partnership/Office of International Affairs).
  3. The DK/KUI sends the nomination and recommendation letter to the host university abroad.
  4. The host university then emails the student directly with instructions to complete the application.

Admission Process

  1. The student fills out the online application and uploads all necessary documents directly through the host university’s online system.
  2. Alternative Submission: If the host university does not offer online registration, the student completes a physical form and sends all required documents to the DK/KUI, which will then submit the application to the partner university on the student’s behalf.
  3. If accepted, the student receives an acceptance letter from the UII partner university.

Pre-Departure and Status Change

  1. The student reports their admission to the DK/KUI via UIIGateway (UIIMobilitas ke luar) and submits key documents for an internal status change. These documents include:
    • The latest academic transcript.
    • A scanned copy of the passport.
    • A scanned copy of the English proficiency certificate.
    • A library clearance letter from Unisys.
    • A scanned copy of the acceptance letter.
  2. The DK/KUI and the Study Program conduct an orientation program for the participating students.

Program Execution and Monitoring

  1. The student begins participating in the joint or double-degree lectures.
  2. The DK/KUI conducts monitoring and evaluation (M&E) once every semester.

Graduation

  1. Upon successful completion of the program, students receive a graduation certificate and an academic transcript from the partner university.
  2. The student reports their graduation to the study program and UIIMobilitas, and applies for the graduation procedures at UII.

The UII Credit Transfer Program provides UII students with an opportunity for international academic exposure, enabling them to study at partner universities abroad. A key benefit of this program is that students can earn academic credits that are fully recognised and transferable back to UII, helping them gain intercultural experience without necessarily extending their total study period.

Participants select courses relevant to their UII degree program to ensure a smooth and efficient transfer of credits.

Types of Credit Transfer Programs:

  • International Credit Transfer (ICT) Program: A one-semester academic program at partner universities.
  • Practical Training: Opportunities to gain credited teaching practice abroad.
  • Credited Internship: Professional internship programs overseas with academic credit recognition.

To be eligible for nomination to the Credit Transfer Program, UII students must meet the following general criteria:

  • Minimum GPA: Maintain a cumulative GPA of 3.00 (on a 4.00 scale).
  • Study Level: Be in at least their 3rd semester of study.
  • Nomination: Be officially nominated by UII (the home university).
  • Language Proficiency: Meet the language proficiency requirements set by the host university (the partner institution abroad).

International Credit Transfer

Application and Nomination

  1. The UII student communicates with their Study Program to discuss their plan to join the Credit Transfer Program, specifically concerning the courses they intend to take at the partner university abroad.
  2. The Study Program prepares a recommendation letter for the student.
  3. The student submits this recommendation letter to the DK/KUI (Directorate of Cooperation/Office of International Affairs) for official nomination to the host university abroad.
  4. The host university sends an email to the student with follow-up application instructions and any other necessary information.
  5. The student then completes the online application directly, fulfilling all requirements by uploading the required documents through the system provided by the partner university.

Pre-Departure and Study

  1. If accepted, the student will receive an acceptance letter from the UII partner university.
  2. DK/KUI and the Study Program conduct a comprehensive pre-departure briefing for the student.
  3. The student reports the mobility to UIIMobilitas and travels to the host country.
  4. The student participates in the credit transfer lectures according to the schedule set by the partner university.
  5. The student attends the monitoring and evaluation program conducted by the DK/KUI once a semester during the semester of study overseas.

Completion and Credit Conversion

  1. Upon completion of the program, the student obtains an academic transcript from the UII partner university and returns to Indonesia.
  2. The student submits the transcript to their Prodi to initiate the credit conversion process.
  3. The grades earned at the partner university are converted into the UII curriculum.
  4. The student officially reports their study results to UIIMobilitas and to the Academic Division at their Faculty to finalise the grade conversion process.

Short program

Universitas Islam Indonesia (UII) offers a wide range of short program opportunities for international exposure and cross-cultural learning. Students can join activities such as:

  • Passage to ASEAN (P2A) programs to explore regional collaboration.
  • Non-credited internships to gain practical experience in professional settings.
  • Summer, winter, immersion, and cultural programs are designed to enhance global perspectives.
  • International conferences, seminars, and competitions to expand academic and professional networks.

How to Join the Short Program 

  1. Students access the information on short program opportunities offered by partner universities through the official website and social media channels.
  2. In cases where the application requirements do not mandate a recommendation letter from DK/KUI, students may submit their applications directly in accordance with the procedures set by the host university.
  3. Students are required to complete all application steps as stipulated by the host university.
  4. Successful applicants will receive an official Letter of Acceptance issued by the host university.
  5. For destination countries that require a visa, students must submit a visa application and fulfil all the requirements as prescribed by the respective country’s regulations.
  6. Upon obtaining the visa, students are to make the necessary travel arrangements to the host country.
  7. Students are required to report their approved mobility participation to UIIMobilitas before departure.
  8. Students shall undertake and complete the designated short program at the host university.
  9. Upon completion of the program, students must submit a final report of their mobility to UIIMobilitas.

Universitas Islam Indonesia (UII) welcomes international lecturers to join as full-time guest lecturers. This opportunity allows them to contribute to UII’s global academic community by engaging in teaching, research, and knowledge exchange.

Selected lecturers will be appointed for a defined period under a formal contract and will receive institutional support for the processing of work permits, visas, and residence permits.

Procedures for Employment of Foreign Staff at UII

Application Process

  1. The Faculty/Study Program submits a formal request letter to the Rector of UII regarding the plan to employ an international lecturer, accompanied by the following documents:
    • Scanned copy of passport
    • Curriculum Vitae (CV) of the foreign staff with a minimum of five (5) years of work experience
    • Scanned copy of the latest academic certificate
    • Proposed duties and responsibilities
    • Proposed duration of employment
    • List of international publications 
  2. The Rector forwards the request letter to the Directorate of Human Resources (DSDM) for further review of the international lecturer’s eligibility.
  3. If the request is approved, DSDM prepares a draft contract for the international lecturer to carry out academic activities at UII.
  4. If the international lecturer is approved to teach full-time for one year and will be physically present at UII, DSDM coordinates with the Directorate of Partnership/International Office (DK/KUI) to process work permits, visas, and residence permits.
  5. DK/KUI communicates with international lecturers to guide them on the requirements and documents needed for work permits, visas, and residence permits.

Contract and Appointment

  1. The international lecturer signs the employment contract with UII.
  2. Upon signing of the contract, DSDM issues a Rector’s Decree (Surat Keputusan Rektor UII).
  3. DK/KUI proceeds with the processing of the work permit, visa, and residence permit.
  4. The international lecturer may enter Indonesia once the work permit and visa have been approved by the Directorate General of Immigration.
  5. After the Rector’s Decree is issued, copies are distributed to relevant parties, including the Directorate of Finance and Budget (DKA), DSDM, DK/KUI, the international lecturer, and the related Faculty/Study Program/Directorate.
  6. DKA processes the payroll for the international lecturer.
  7. DSDM enters the data into UII’s system to register the staff as UII academic personnel.
  8. The international lecturer may commence their academic duties at UII.

End of Term

  1. The international lecturer must submit a resignation letter to the Rector of UII no later than one (1) month before the end of their term of employment.
  2. DSDM processes the resignation by preparing a request for a Rector’s Decree on the termination of employment.
  3. Once the Decree of Termination is issued, it is distributed to the relevant parties, including DKA, DSDM, DK/KUI, the international lecturer, and the related Faculty/Study Program/Directorate.

Extension of Employment Term

  1. The Faculty/Study Program submits a notification of employment extension to the Rector of UII.
  2. DSDM receives the Rector’s disposition for contract extension and follows up by processing the extension of the international lecturer’s employment contract.
  3. DK/KUI submits applications for the extension of the work permit and residence permit.

The international lecturer may continue their academic activities at UII for the following year.

Universitas Islam Indonesia participated in the Indonesian International Student Mobility Awards (IISMA) from 2021 to 2024. This program, one of the Emancipated Campus flagship programs, is a scholarship scheme by the Ministry of Education, Culture, Research, and Technology of the Republic of Indonesia for undergraduate and vocational students to spend one semester at the best universities and industries worldwide.
